What is SMTP?

SMTP stands for Simple Mail Transfer Protocol. It's the standard protocol (system of rules) used to send emails across the Internet. When you send an email, SMTP is responsible for ensuring it reaches the recipient’s mail server. Here's a simplified breakdown of how it works:

  1. Sending: You compose an email and hit send. Your email client (like Outlook or Gmail) communicates with your outgoing mail server using SMTP.
  2. Relaying: The SMTP server finds the recipient's mail server through DNS (Domain Name System) and sends the email.
  3. Receiving: The recipient’s mail server accepts the email and delivers it to their inbox.

While SMTP is excellent at delivering emails, it was originally designed without robust security features, making it vulnerable to cyber-attacks. When SMTP was created in the 1980s, cybersecurity was not a major concern. Over the years, several security measures have been developed to address these vulnerabilities, which we will cover below.

What is DNS?

DNS stands for Domain Name System. Think of it as the phonebook of the Internet. When you want to visit a website, you usually type in a human-friendly address like www.example.com. However, computers and servers use numerical addresses known as IP addresses (like 192.0.2.1) to locate and communicate with each other.

DNS translates those human-friendly addresses into IP addresses, so when you use yourdomain.com to send emails, DNS helps your computer find the right server to send the email from. This way, you don't have to remember a string of numbers for each domain you use; you just remember the names.

Why Email Security is Important

Implementing proper security measures helps reduce vulnerabilities to a variety of attacks:

  • Phishing Attacks: Malicious emails designed to trick recipients into revealing sensitive information.
  • Spoofing: Hackers send emails pretending to be someone else, often to trick the recipient into taking harmful actions.
  • Malware and Ransomware: Emails can carry malicious software that can infect your systems.

Ensuring Email Deliverability

  • SPF (Sender Policy Framework): SPF helps to verify that an email was sent from an authorized mail server, reducing the likelihood of your emails being marked as spam.
  • DKIM (DomainKeys Identified Mail): DKIM adds a digital signature to emails, allowing the recipient's server to check if the email was altered during transit, which helps maintain email integrity and deliverability.
  • DMARC (Domain-based Message Authentication, Reporting & Conformance): DMARC builds on SPF and DKIM to ensure that emails are properly authenticated. It also provides a way for senders to report on and improve email authentication, significantly enhancing email deliverability. In simpler terms, DMARC makes sure the email is really from who it says it’s from. 
  • BIMI (Brand Indicators for Message Identification): BIMI allows brands to display their logos in email clients, helping recipients verify the email’s legitimacy visually. 

By configuring these protocols correctly, businesses can improve the chances that their emails will be successfully delivered and not flagged as spam, ensuring effective communication with customers and clients.
